Your personal information

Personal information is anything that directly or indirectly identifies and relates to a living person, such as a name, address, personal email address, telephone number, date of birth, photographs, video recordings (including CCTV) etc.

Some personal information is ‘special category data’ and needs more protection due to its sensitivity. This includes any information about an identifiable individual that can reveal their sexuality and sexual health, religious or philosophical beliefs, racial origin, ethnicity, physical or mental health, trade union membership, political opinion, genetic/biometric data. Personal information relating to criminal offences and convictions, although not ‘special category data’, is still sensitive in nature and merits higher protection.

Purpose

The personal information that you provide will only be used to communicate with you for the purposes of the election of Sheriff for the year 2027/28 and subsequent events only up until the end of September 2028.

How the law allows us to use your personal information

There are a number of legal reasons why we will need to collect and use your personal information in different circumstances. Generally, we collect and use personal information where:

  • you, or your legal representative, have given consent,
  • the processing is necessary for pursuing the legitimate interests of the Data Controller or a third party, except where the data subject’s interests or fundamental rights and freedoms override the Data Controller’s interests.

Your rights regarding your personal information

The law gives you a number of rights in relation to what personal information is used and how it is used. These rights are listed below.

You can ask us to:

  • provide you with a copy of the personal information that we hold about you;
  • correct personal information about you which you think is inaccurate;
  • delete personal information about you if you think we no longer should be using it;
  • stop using your personal information if you think it is wrong, until it is corrected;
  • transfer your personal information to another provider in a commonly used format;
  • not use automated decision-making processes to make decisions about you.

Who do we share your personal information with?

Your personal information will not be shared with any third parties. It will be sued solely to communicate with you in respect of the election of Sheriffs for the year 2027/28 and subsequent events only until 30 September 2027.

Information outside of the European Union

The majority of your personal information is stored on systems in the UK or EU. We will notify you before any of your personal information is transferred outside of the EU.

How long do we keep your personal information?

We will only hold your personal information until the end of September 2027. Your personal information will be destroyed securely as soon as possible thereafter.
